Terms and Conditions for connecting to the
Academic Identity Card online service
- The "Academic Identity Card online service" is provided by the Ministry of Education, Research and Religious Affairs with the technical support of the National Infrastructures for Research and Technology SA. (hereinafter referred to as “GRNET SA”). The object and the purpose of the service is to provide the Academic Identity Card to all eligible students, professors and other staff of the Academic and Research Institutions (hereinafter collectively referred to as the “relevant entities”).
- Participation in the programme and submission of a request for the Academic Identity Card by a student are automatically deemed as acceptance of the present terms as set out in the legislation in force.
- All participants in the "Academic Identity Card online service" Program, Beneficiaries thereof, expressly accept that all data and personal details entered in the programme are accurate, true and up-to-date and that any statement made in relation to the "Academic Identity Card online service" is a Responsible Declaration in the sense and as per the consequences of Law 1599/1986, as in force at any time.

An Academic Identity Card may be requested by any of the following persons:
- Students of the first, second and third cycle of studies with the Greek Universities, the Highest Ecclesiastic Academies and the Greek Open University.
- Professors of any degree with the Greek Universities (AEI), Ecclesiastic Academies (AEA) and the Greek Open University (EAP), University lecturers and Professors of Applications of the Technological Institutes (TEI).
- The Special Educational Personnel (EEP), the Laboratory Teaching Personnel (EDIP), the Special Technical Laboratory personnel (ETEP), the researchers as well as the regular personnel of the Universities (AEI), the Ecclesiastic Academies (AEA), the Greek Open University (AEP) and research centers/entities, who are on the payroll of the pertinent Institution and listed in the inventory of public servants.

Holders of an Academic Identity Card which is also valid as a Special Fare Card, irrespective of the time of their induction, may exclusively be:
- Students of the full time courses of the Universities in the first cycle of studies thereof, who are not already holders of a university degree, for as many academic years as required to obtain a degree in accordance with the indicative programme of studies, accrued by two (2) academic years.
- Students of the part time courses of the Universities in the first cycle of studies, who do not already hold a university degree, for double as many academic years as required to obtain a degree in accordance with the indicative programme of studies.
- University Students of the second cycle of studies, who are not already holders of a postgraduate degree, for as many calendar years as the duration of their studies in accordance with the indicative programme of studies.
- University students of the third cycle of studies who do not already hold a doctoral degree, for four (4) calendar years as from the date of their registration.
- Students - citizens of EU Member States and third countries, studying at a domestic university within the framework of the Erasmus mobility programme of the European Union for as long as they pursue their studies in the Greek University.
- Students of Ecclesiastic Academies (AEA), who are not already holders of a degree, for as many academic years as required to obtain a degree in accordance with the indicative programme of studies, plus two (2) academic years.
- Should one cease for any reason to qualify as a holder of the Academic Identity Card of the pertinent Institution (Academic Institutions/Research entities of the Country) that would automatically entail the termination of the right to hold an Academic Identity Card, which in such case should be returned to the Secretariat of the Department or to the competent authority of the relevant entity. In the event that the holder has lost the Academic Identity Card, a responsible Declaration under Law 1599/1986 as in force at any time, must be filed with the competent authority, accompanied by the statement of loss / theft submitted with the competent public authority.
- The Academic Identity Card shall be picked up from the specific Distribution Point selected by the beneficiary in the course of the Academic Identity Card Request process. Pick-up shall only be possible, provided that the respective request has been approved by the Secretariat of the Department or by the competent authority of the relevant Institution, and upon prior notice given to the applicant by sms or e-mail or through his/her personal account on the information system especially configured to this effect. Academic Identity Card is strictly personal, intended for the sole use of its holder.
- By participating in the central information system for the issuing of the Academic Identity Card and by accepting the specific terms and conditions thereof, the beneficiary consents to the submission of data comprising also personal data for the purpose of issuing and delivering the Academic Identity Card. He/she also accepts that such data may be used by the relevant entities in the country for the purpose of providing the beneficiary with services (e.g students’inventory, meals, access to libraries, etc.). The beneficiary’s data is collected for the purpose of providing the service, for communicating with him/her and notifying him/her about service related issues. The collection and processing of personal data submitted by the beneficiary, upon his/her explicit consent, when filing his/her final request, shall be subject to the terms and conditions set forth herein and, in particular, to the provisions of national, European and international Law including the provisions of law 2472/1997 on the protection of individuals from the processing of personal data, as it stands amended and in force. For the same purposes and subject to the same terms and conditions (institutional framework), such data may be transmitted within the scope of the present to relevant entities.
- GRNET SA is committed to maintaining the confidentiality of personal data submitted by the beneficiary and to processing them within the scope of the implementation of the "Academic Identity Card online service" programme in accordance with what is set out hereinabove. In this context, GRNET SA takes all appropriate organizational and technical measures to ensure the security of the data and their protection against accidental or unlawful destruction, loss, alteration, unauthorized disclosure or access, and any other form of illicit processing. GRNET SA may not be held liable in case any of the aforementioned events occurs. Moreover, GRNET SA has duly communicated to the Data Protection Authority, in accordance with the law, all the procedure described hereinabove with regard to the processing of the personal data consensually submitted by the beneficiary.
- The participating beneficiary is entitled to be informed or to receive information about his/her maintained personal data. If the beneficiary wishes to become informed about his /her personal data, the use thereof, or if he/she wishes to rectify or update the same, he/she may contact the Users Help Desk.

It is prohibited to users to use the "Academic Identity Card online service" for the transmission of data that may contain or imply:
- a false statement about the user's / member's identity or a misleading statement regarding the relationship and/or the cooperation of the user/member with another natural person or legal entity.
- tampering or any other alteration of user's /member's credentials with the purpose of deceiving with respect to the origin of content transmitted through the "Academic Identity Card online service".
- advertising messages or other promotional content regrding products, or services or third-party websites, the dispatch of unwanted and uninvited, by the recipient, e-mails and any other form of forwarding of unwanted promotional content.
- viruses or any other electronic code, files or programs designed to interfere, destroy, or restrict the operation of any computer software or hardware or of any telecommunication network or equipment.
- interference with the services or disruption of any services, servers or networks connected to the "Academic Identity Card online service" or non-compliance with the rules, conditions, procedures and rules of such networks.
- intentional or unintentional, violation of any local, national, European, international law and /or of any rule with the force of law, governing and/or covering the "Academic Identity Card Service".
- harassment in any way of the privacy, of the individual and social rights of other users / members as well as of any individual.
- GRNET SA reserves the right to modify the present terms and conditions by notifying the registered users/participants in the service by virtue of pertinent post on the present website. Continued use of the application shall be construed as an automatic and explicit acceptance of such modified terms. In case of disagreement with the new terms, a participant may address a written request to the service Users Help Desk seeking the deactivation of his/her account in this application.
- The Ministry of Education, Research and Religious Affairs and GRNET SA may not be held responsible for any data and information entered under the beneficiary's sole responsibility in his/her online request and for those printed out on his/her Academic Identity Card.
- The present participation terms and conditions replace any prior understanding whether oral or written, or any other contract or agreement relevant to the "Academic Identity Card online service". These participation terms and conditions are governed by Greek law, and any dispute arising in connection with them will be settled by the Courts of Athens.
